Position Summary: The Enrollment Advisor is a vital member of the Admissions Department and often the first point of contact for prospective families at the Williamsburg Family of Schools. Successful Enrollment Advisors use strong communication, relationship-building, organizational, and consultative sales skills to guide families through the enrollment process, help determine program fit, support enrollment goals, and create a positive start to the school year.Essential Duties1) Enrollment Consultations & Family GuidanceConduct personalized enrollment consultations with prospective families to understand educational goals, answer questions, and guide families through enrollment optionsClearly communicate Williamsburg Learning programs, curriculum pathways, and enrollment opportunities in a supportive and consultative mannerBuild trust-based relationships with families while helping them determine program fit and make informed enrollment decisionsAddress questions, concerns, and objections with confidence, professionalism, and empathy2) Enrollment Pipeline Management & Performance TrackingManage prospective family pipelines through proactive follow-up, task management, and timely communicationSupport families through application submission, registration, onboarding preparation, and next steps leading into the school yearMaintain consistent communication with prospective and newly enrolled families to support enrollment goals and conversion outcomesTrack enrollment activity, follow-up progress, conversion outcomes, and performance metrics to ensure families successfully move through the enrollment process3) CRM Documentation & Enrollment Systems ManagementMaintain accurate and organized records of family interactions, follow-ups, and enrollment progress within HubSpot and related systemsUtilize HubSpot, Asana, spreadsheets, and additional internal systems to support enrollment operations and team collaborationManage assigned tasks, consultation schedules, and enrollment tracking with strong attention to detail and organizationEnsure timely and accurate documentation to support reporting, forecasting, and team alignment4) Program Knowledge & Enrollment SupportMaintain strong knowledge of Williamsburg Learning programs, curriculum offerings, policies, enrollment pathways, and school partnershipsProvide families with accurate guidance regarding enrollment options, course selection, and onboarding preparationStay informed on program updates, enrollment processes, and internal resources to ensure a consistent family experienceUtilize team knowledge bases and training resources to remain aligned with current procedures and expectations5) Team Collaboration, Feedback & Continuous ImprovementCollaborate with team members to share family feedback, enrollment insights, and process improvement ideasContribute to team documentation, knowledge base updates, and ongoing training resourcesSupport outreach initiatives and cross-functional projects that enhance the family enrollment experienceRemain adaptable and solutions-oriented in a growing and evolving enrollment environmentNon-Essential DutiesPlease note that this job description is not designed to cover or contain a comprehensive listing of the activities, duties, or responsibilities required of the employee for this job.

Qualifications
2+ years of experience in sales, admissions, enrollment, or customer-facing support rolesStrong oral and written communication skillsExperience managing pipelines and follow-up communication using CRM systems such as HubSpot, Google Sheets, Asana, and similar collaboration toolsAbility to work independently, stay organized, and manage a consultation scheduleAssociate degree or higherWorking ConditionsFull-time remote position, 40 hours per weekScheduled shifts are typically 9:00 AM - 5:00 PM or 10:00 AM - 6:00 PM based on enrollment support needsAdditional scheduling flexibility may occasionally be needed during peak enrollment seasonsParticipation in virtual meetings, trainings, and collaborative team sessions
